WHY
Where a spreadsheet checkout log drifts
Equipment lists usually start as a spreadsheet someone made. While only a few people write in it, it works. It starts to drift once more people do.

No due date
If the borrower forgets to fill it in, nobody knows when it comes back. Someone has to ask.

One item, two rows
“M-500” and “M500” become separate rows, and the count stops matching the shelf.

Bookings live elsewhere
Who gets it next week is settled in chat and never reaches the sheet.

Someone else has the file open, so you can’t save. You mean to come back, and forget.
None of this happens if everyone remembers to write things down. A process that depends on nobody forgetting rarely lasts.
Werp™ removes the writing instead. A check-out is on record the moment you scan the label and tap “Check out”. An overlapping booking is stopped before it is saved.

One camera, from registration to stocktake
Own three of the same camera and Werp™ keeps one product and three units. Labels, bookings and history all belong to the unit. Here we follow the second one, ID 1-2.
- 01 Register
Register from a name or a barcode
Type the product name, scan its barcode with your phone, or paste a product page URL. WerpAI™ suggests up to three matches with model number, maker, description and photo; pick the right one and save. Whether a match is really the thing in your hands is for a person to decide. If the product is already in your inventory, Werp™ offers to add a unit instead of a duplicate.

Label every unit
Labels belong to units, not products: three cameras, three labels. Werp™ exports 300 dpi images for 18 mm and 9 mm tape, ready for the software that comes with common label printers.
About QR labels - 03 Book
Stop overlapping bookings
Book the dates you need. A booking that overlaps another on the same unit can’t be saved. Werp™ doesn’t warn and let it through; it stops it. If another unit is free, you can pick that one. Bookings can be written to Google Calendar too.
About bookings - 04 Check out
Scan the label, tap “Check out”
Scan the label with the phone’s own camera and the unit’s page opens in the browser. Tap “Check out” and who took it, and when, is on record. There is no app to install, so someone who joined this morning can do it today.
- 05 Return
A reminder 24 hours before
Returns are recorded from the same label. The borrower gets an email and an in-app notice 24 hours before the due date, and again once it passes. Admins hear about overdue items too, so nobody has to chase by hand.
- 06 Stocktake
Scan the shelf, label by label
Start a stocktake and scan the labels in front of you. Each scan is counted on the spot, and whatever is never scanned is left as missing. No ticking a paper list and matching it against the register afterwards.

What Werp™ doesn’t do
So nothing surprises you after you start, here is what is out of scope.

Depreciation and journal entries
Werp™ keeps the physical record of fixed assets but does no accounting.
Instead Export the asset list as CSV for the accounting software you already use.

Overage charges for WerpAI™
When the month’s credits run out, WerpAI™ pauses until the 1st of the next month (Japan time). You are never billed for extra use.
Instead Manual registration and everything else keep working meanwhile.

Syncing edits back from Google
If you move a Werp™ booking inside Google Calendar, that change doesn’t flow back into Werp™.
Instead Change bookings in Werp™.

App store apps
Werp™ isn’t on the App Store or Google Play.

Does the Free plan expire?
No. Up to 3 members, 50 items and 50 WerpAI™ credits a month stay free. No credit card to start.
Do plans have different features?
No. QR labels, bookings, kiosks, stocktakes, Google Calendar and CSV import are all on Free. Plans differ in member and item limits and in monthly WerpAI™ credits.
Do I need to install an app?
No. Scan a label with the phone’s own camera and that unit’s page opens in the browser.
Can we move over from our spreadsheet?
Yes, by CSV import. Name, model, quantity and location columns are found by their headings, so column order doesn’t matter, and you see a row-by-row preview before anything is imported.
What happens when WerpAI™ credits run out?
WerpAI™ pauses until the 1st of the next month (Japan time), at no extra cost. Manual registration and everything else keep working.
Can members outside Japan use it?
Yes. The interface switches between English, Japanese and German. Prices are in Japanese yen.
